Before You Begin

This guide walks through connecting a Zebra ZD-series desktop label printer (such as the ZD420, ZD500R, or ZD620) to a wireless (Wi-Fi) network from a Windows PC using the free Zebra Setup Utilities software. The printer is first installed and configured over a USB cable, then switched over to Wi-Fi. Once the printer has an IP address on your network, Windows is reconfigured to print to it over that network instead of USB.

What you will need

  • The ZD-series printer, its power cable, and label media loaded and ready to print.
  • A USB cable to connect the printer to your Windows PC for the initial setup.
  • A Windows 10/11 PC connected to the same Wi-Fi network the printer will join.
  • Your Wi-Fi network name (ESSID) and password/security details on hand.

Step 33

Disconnect USB and print a test label

Disconnect the USB cable from the printer and try printing a label from any application. The print job should now travel over Wi-Fi to the printer's new network port instead of the USB cable.

Final Installation Checklist

Before handing the printer over to the user, verify the following:

  • The printer driver installed successfully over USB and appears in Zebra Setup Utilities.
  • The correct Wi-Fi network name (ESSID) and security mode were entered.
  • Settings were applied and the network status light turned green.
  • The printed network configuration label shows a valid IP address on your network.
  • A new Standard TCP/IP port was created using that IP address, and it is selected in the printer's Ports tab.

Quick Troubleshooting Reference

  • Network status light stays red. Double-check the ESSID spelling and security mode match your network exactly, and confirm the Wi-Fi password entered was correct. Reapply the settings (Steps 13–17).
  • Windows can't find the printer at its new IP address. Print a fresh network configuration label (Step 20) to confirm the current IP address, and make sure the PC and printer are on the same network/subnet.
  • Printer prints from Zebra Setup Utilities but not from other programs. Confirm the new network port is checked (and USB001 is unchecked) on the Ports tab (Step 32), and that the correct printer is set as default.
Print a label — it should now print wirelessly over the network.
